1. Who we are

Dearly is operated by Weekcraft, weekcraft.co.uk. We're the data controller for information collected through this app. Contact us at hello@weekcraft.co.uk.

2. What we collect

• Account data — your name or business name, email address, and a securely hashed password.
• People and dates you add — names, emails, phone numbers, notes, and important dates for the people you track in Dearly. This is personal data about third parties that you provide; you're responsible for having a lawful basis to store it (e.g. a legitimate business relationship, or simply remembering your own family and friends).
• Calendar data (Dearly Plus only) — if you connect Google Calendar or Microsoft 365, we store an access/refresh token and read your calendar's free/busy data to find a slot, then create calendar events on your behalf. By default we don't read the content of unrelated events.
• Contacts and existing calendar events (opt-in, Google only) — if you separately turn on "Sync contacts & meetings" in Settings, we additionally read your Google contacts (name, email, phone) so you can add people to Dearly faster, and read the titles, times, and attendees of your existing Google Calendar events so you can import ones Google already knows about instead of re-entering them. This is off by default; declining or never enabling it changes nothing else about how Dearly works. You can tell whether it's on from the Settings → Calendars page at any time.
• Meeting recordings and transcripts (Dearly Plus only) — for meetings booked through Dearly, we may pull a recording or transcript from Google Meet or Microsoft Teams (where available and permitted by your Microsoft/Google tenant policies), and generate a text transcript via OpenAI's Whisper API if no native transcript exists.
• Push notification tokens — if you install Dearly as a mobile app and enable notifications, we store a device token via Firebase Cloud Messaging to send you date reminders.
• Billing data (Dearly Plus only) — subscription and payment details are handled entirely by Stripe; we store your Stripe customer/subscription ID, not your card details.
• Usage data — standard technical data (IP address, browser/device type) collected automatically.

3. How we use your data

• To provide the core service — tracking dates, sending reminders, booking meetings.
• If you've opted in to contacts & meeting sync: to suggest people to add from your Google contacts, and to show existing Google Calendar events you can import as meetings in Dearly.
• To generate AI gift/message suggestions and meeting summaries (Dearly Plus): the name, notes, and occasion details for a person, or a meeting transcript, are sent to Anthropic's Claude API or OpenAI's API to generate that content. These providers process the data to return a response; see Anthropic's and OpenAI's privacy policies for how they handle it.
• To process payments and manage your subscription (Dearly Plus), via Stripe.
• To comply with legal obligations, such as tax records for subscription payments.

4. Third parties we work with

• Anthropic (Claude) — generates gift/message suggestions.
• OpenAI (Whisper) — transcribes meeting recordings.
• Google — calendar connection, if you choose to connect it.
• Microsoft — calendar connection, if you choose to connect it.
• Stripe — payment processing for Dearly Plus.
• Firebase (Google) — push notification delivery, if enabled.
• Fly.io — hosts this application.

5. Data retention

Your account and the people/dates you've added are retained until you delete them or close your account. Meeting recordings/transcripts are retained as part of your account data. Session tokens expire after 30 days of inactivity.

6. Your rights

If you're in the UK or EU, you can access, correct, delete, or export your data, and object to certain processing, by emailing hello@weekcraft.co.uk. You can also lodge a complaint with the UK Information Commissioner's Office (ICO) or your local data protection authority.

7. Deleting your account

Email hello@weekcraft.co.uk to request account deletion. This removes your account, the people/dates you've added, calendar connections, and cancels any active subscription.

8. Children's privacy

Dearly is not directed at children under 16, and we do not knowingly collect personal data from them.

9. Changes to this policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
